What type of information we have

We currently collect personal information about our clients primarily including names, business email addresses and telephone numbers. We may also hold personal information supplied to us by clients such as the names and email addresses of their customers, employees and other suppliers.

How we get the information and why we have it

Most of the personal data we collect is provided to us directly by our clients via standard email communications. This data is kept for the purpose of carrying out the work for which we are contracted and communicating with our clients in the legitimate interest of their business and ours.

The personal data we receive from clients is supplied to us for the express purpose of carrying out the work for which we are contracted, such as contacting our clients’ employees directly or including individual customers’ names in written communications such as articles and case studies.

What we do with the information

All the personal data we hold – whether it relates to our clients or our clients’ employees, customers and other suppliers – is kept for the purpose of performing our contracted obligations to our clients and communicating in the course of normal business operations. We do not share this information with any other individual or business.

How we store your information

Personal information about our clients is stored securely in software communications and financial applications such as Microsoft Outlook and Freeagent. Telephone numbers are stored in cloud-based contact lists. All these databases are protected by multiple levels of safeguarding measures. This information is held indefinitely, unless we receive a request from a data subject to remove some or all of their personal data from our records.

Personal information passed to us by a client containing information about their employees or customers is held and stored in the same format in which it is supplied. All supplied data is stored in digitally encrypted and password protected folders. The length of time for which we hold supplied data will be agreed with the client at the time it is supplied, and deleted from our records on or before the agreed date.

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal data in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
